We’re looking for a Project Coordinator with strong organisational skills and initiative to support the day-to-day execution of internal and client projects for Operations X. You’ll help keep tasks moving, communicate with clarity, and solve problems before they become bottlenecks.
This is not a passive admin role — you’ll play a key role in orchestrating deliverables, holding team members accountable, and improving how things run.
Your Main Objective
Help the Operations X team stay on track and deliver results by:

Managing timelines, tasks, and updates across tools like Asana, Slack, and Google Workspace

Following up on action items with both internal team members and clients
-
Creating clear project documentation and client-facing updates
-
Identifying process inefficiencies and recommending solutions
Responsibilities

Coordinate weekly task lists, progress updates, and status reports
-
Take accurate notes during team/client meetings and track follow-ups
-
Manage documentation in Google Drive, Sheets, and shared folders
-
Support in building SOPs and process maps (you don’t need to create them from scratch, but you’ll help shape them)

Troubleshoot day-to-day operational blockers

Communicate clearly with stakeholders and escalate where needed

Track project KPIs and maintain internal dashboards

Be the “go-to” for team accountability and clarity
You Are…

Detail-oriented and naturally organised
-
Calm under pressure and good at getting answers without being pushy

Able to communicate clearly in English — both written and verbal
-
Familiar with project tools like Asana, Trello, ClickUp, or Monday.com

A quick learner and process improver — you spot messy systems and want to fix them
-
Tech-savvy and confident using online tools (you don’t need to code or design, but you should be comfortable jumping between docs, forms, and dashboards)
Compensation

Monthly retainer (commensurate with experience)
