    Project Coordinator

    Target Audience: Experienced Virtual Assistants or Project Coordinators with a strong operations mindset

    Work Type: Remote | Structured but Flexible | Clear KPIs & Growth Path


    We’re looking for a Project Coordinator with strong organisational skills and initiative to support the day-to-day execution of internal and client projects for Operations X. You’ll help keep tasks moving, communicate with clarity, and solve problems before they become bottlenecks.

    This is not a passive admin role — you’ll play a key role in orchestrating deliverables, holding team members accountable, and improving how things run.


    Your Main Objective

    Help the Operations X team stay on track and deliver results by:

    • Managing timelines, tasks, and updates across tools like Asana, Slack, and Google Workspace

    • Following up on action items with both internal team members and clients

    • Creating clear project documentation and client-facing updates

    • Identifying process inefficiencies and recommending solutions


    Responsibilities

    • Coordinate weekly task lists, progress updates, and status reports

    • Take accurate notes during team/client meetings and track follow-ups

    • Manage documentation in Google Drive, Sheets, and shared folders

    • Support in building SOPs and process maps (you don’t need to create them from scratch, but you’ll help shape them)

    • Troubleshoot day-to-day operational blockers

    • Communicate clearly with stakeholders and escalate where needed

    • Track project KPIs and maintain internal dashboards

    • Be the “go-to” for team accountability and clarity


    You Are…

    • Detail-oriented and naturally organised

    • Calm under pressure and good at getting answers without being pushy

    • Able to communicate clearly in English — both written and verbal

    • Familiar with project tools like Asana, Trello, ClickUp, or Monday.com

    • A quick learner and process improver — you spot messy systems and want to fix them

    • Tech-savvy and confident using online tools (you don’t need to code or design, but you should be comfortable jumping between docs, forms, and dashboards)


    Compensation

    • Monthly retainer (commensurate with experience)

    • Bonus structure based on project delivery and efficiency

    • Opportunity to grow into a senior coordinator or operations manager role
